VAT and eTIMS software Kenya businesses can reconcile
Tax software is only useful if the records behind it agree. A business can issue a correct-looking invoice and still have a broken VAT return if the sale, payment, credit note or product tax code is wrong. The practical goal is a chain that holds: sale, tax invoice, payment, credit note, VAT report and filing.
Zama works on both sides of that chain. Vega POS handles retail sales, stock and receipts. Zivo handles invoicing, quotations, expenses, M-Pesa payment records and finance reporting. For eTIMS, the right question is which route is approved for your business and what must be tested before go-live.
KRA eTIMS software: what compliance actually involves
eTIMS is KRA's electronic Tax Invoice Management System. For a business using its own POS, accounting or ERP system, compliance usually means connecting that system through an approved route and keeping evidence of what was submitted and accepted.
Three things must be true:
- The invoice carries the correct business, customer, item, tax and total details.
- The submission result is traceable, including rejected or uncertain outcomes.
- Sales, payments, credit notes and VAT reports reconcile to the invoices issued.
KRA describes system-to-system routes including the Online Sales Control Unit (OSCU) and the Virtual Sales Control Unit (VSCU). The appropriate route depends on your software, connectivity and onboarding status. Read the official KRA system-to-system guidance.
Vega POS supports eTIMS-ready invoicing workflows, but activation depends on the supported connection, business configuration and successful testing. We do not present a sandbox demonstration as proof of production approval.
VAT invoicing software Kenya
A VAT invoice should be generated from the same record that updates the sale, stock and customer balance. Retyping an invoice from a delivery note creates differences that are hard to explain later.
Look for:
- Business and customer details that can be controlled and updated safely.
- Product-level tax treatment, including standard-rated, zero-rated and exempt items.
- Controlled invoice numbering and document history.
- Clear handling of discounts, deposits and part payments.
- Credit notes linked to the original sale where possible.
- Exports your accountant can use without rebuilding the data.
Zivo supports quotations, invoices, expenses, M-Pesa payment records and finance reporting. See the Zivo product page for the public workflow.
VAT report software Kenya
A useful VAT report separates output VAT, input VAT, zero-rated and exempt supplies, credit notes and net VAT. It should also let you trace the figures back to sales and purchases.
| Check | What to compare | What a difference may mean |
|---|---|---|
| Sales to invoices | POS or sales records against invoices issued | Unrecorded sale, voided invoice, duplicate submission or missing document |
| Invoices to payments | Invoice totals against cash, M-Pesa, card and bank receipts | Unpaid balance, wrong invoice match or timing difference |
| Purchases to input VAT | Supplier invoices against eligible purchases | Missing invoice, duplicate claim or non-creditable expense |
| Returns to credit notes | Refunds and returns against credit notes issued | Refund processed without a tax document |
For a detailed month-end routine, read the invoicing software Kenya guide and the related finance content on the Zama blog.
Credit note software Kenya
Returns and corrections need a proper credit note, not just a cash refund. The credit note should link to the original sale where possible, show the reason and reduce the reported output VAT correctly.
A common failure is issuing a refund at the till while the original invoice remains unchanged in the report. The cash movement is recorded, but the tax record is overstated. Test this workflow with the vendor before go-live.
Accounts receivable software and debtor management Kenya
VAT and invoicing do not stand alone. A business selling on credit also needs to know who owes what, which invoices are overdue and what follow-up has happened. Accounts receivable and debtor management should share the same customer and invoice records as the sales system.
- Customer statements and aged balances.
- Credit limits and approval for exceptions.
- Payment allocation to the correct invoice.
- Follow-up history and promised payment dates.
- Exports for the accountant or credit committee.
For trade customer controls, see the wholesale POS guide. For payment matching, see M-Pesa reconciliation.

How to choose VAT and eTIMS software in Kenya
- Does the vendor understand the difference between a sale, an invoice and a fiscal submission?
- Can they demonstrate a rejected or uncertain submission and the recovery process?
- Does the invoice data come from the same record as the sale and stock movement?
- Are credit notes and customer balances handled in the same system?
- Can you export the records your accountant needs?
- What is included in onboarding, testing and ongoing support?
VAT and eTIMS software: frequently asked questions
What should a Kenyan VAT report include?
A practical report should separate output VAT, input VAT, zero-rated and exempt supplies, credit notes and returns, and net VAT. It should also reconcile to sales, invoices and payments.
Can Zivo issue credit notes?
Yes. Zivo supports invoicing, quotations, expenses, payment records and finance reporting. Credit notes and the related customer balance should be reviewed as part of your own tax process.
Does this guarantee eTIMS compliance?
No software purchase alone guarantees compliance. eTIMS depends on the correct route, business configuration, successful testing, staff process and reconciliation. Confirm the current requirements with KRA or your tax adviser.
Can I use my existing accounting system?
Possibly, but compatibility must be assessed. Tell us the system name, how it creates invoices and whether you want to keep it or move to Zivo or Vega POS.
Is a POS receipt the same as an eTIMS invoice?
Not necessarily. A receipt is evidence of a sale. An eTIMS invoice has specific submission and acceptance status. The system should make the difference clear to staff.
